# Pavilion Arc sample files

Every name, company, number and document here is fictional. Use these files to try each product end to end,
or as a model for what your own files should look like. These instructions were supplied with v49.3; later refinements may change menu labels. Document-reading steps run inside your browser. Feedback you explicitly submit goes to the Pavilion Arc feedback service.

Open a product, choose **Open workspace**, then follow its steps in order. Each step feeds the next.

## FleetX (equipment rental)
1. **Activity & settings > Import CSV**: `fleetx/01_fleetx-equipment-import.csv`. Six assets arrive in *Awaiting inspection*.
Columns: id (blank = auto), name, category (Earthmoving, Lifting & access, Generators, Vehicles, Tools), serial, year,
location, hours, serviceAt, cert (YYYY-MM-DD), rate (per day).
2. Open *Compact Track Loader 2T* > **Upload document**: `fleetx/02_inspection-certificate-CTL-2T-88412.pdf`.
3. **Arrival inspection**: tick both checks and write findings. The asset becomes *Available*.
4. **New booking** > **Dispatch & handover** > **Receive return** > **Return inspection**. The rental record shows every step.

## Coordex (sales: inquiry to quotation)
1. **Products > Vendor price library > Choose file**: `coordex/01_vendor-price-list.csv`
(Vendor, SKU, Description, Unit Price, Currency, Stock, Lead Time).
2. **Customer directory > Import CSV**: `coordex/02_customers.csv` (name, email, payment, currency, phone).
3. **+ New quotation > Smart assist**: paste a customer email such as
*"Hello, this is Pearl Marine Services. Please quote 20 pcs ball valve 2 inch SS316 threaded and 4 pcs centrifugal water pump 80mm outlet. Payment advance, delivery in 4 weeks."*
The customer, items, costs from the price list, terms and delivery are filled. **Save draft**: the deal appears on Today.
4. Items priced in another currency (the AED gasket) show a *Check currency* warning. Coordex does not convert currencies.
5. A full document set for one deal (RFQ to invoice) is in the app folder: `demos/coordex/demo-files/`.

## Shipdesk (export documents)
1. **Supplier checks**: commercial invoice `shipdesk/01_...pdf` (or `.txt`), packing list `shipdesk/02_...pdf` (or `.txt`).
**Run checks** gives 0 fail. The CSV pair `03_invoice-lines.csv` / `04_packing-lines.csv` works the same way.
2. **CIPL studio > Import goods**: `shipdesk/03_invoice-lines.csv`. You confirm before the four lines replace the current goods.
3. **Collection & closure > collection proof**: `shipdesk/05_bill-of-lading-proof.pdf` is stored as *Bill of lading*.
For a failing example, use **Load sample with errors** on Supplier checks.

## SpendWise (expenses)
1. **Capture**: type your name under *Claiming as* first.
2. Drop `spendwise/01_card-statement-october.csv` > **Pick the lines** > **Import**. Seven claims, each with the employee from the file
(Date, Description, Merchant, Category, Amount USD, Currency, Employee).
3. Drop both receipt PDFs > **Add all ready**. Merchant, date, amount and category are read from each receipt.
They match two card lines, so both are flagged *Possible duplicate* for the approver. That is intended.
4. **Approvals**: the duplicate warning is shown, and a reviewer name and reason are required.

## ClausePilot (contracts)
1. **Reader > Try a file**: `clausepilot/01_...txt`, `02_...docx` or `03_...pdf` (same contract).
   It reads signed 2025-11-01, a 12-month term, ending 2026-11-01, with 60 days' non-renewal notice.
It flags automatic renewal, no liability cap and the indemnity clause.
2. **Add to register**: the agreement form opens with those dates. Add the counterparty and save. It appears on Overview.

## FormFlow (supplier questionnaires)
1. Fill **Company profile** first (name, tax ID, contact, phone, email, year established, employees).
Profile answers are reused in every questionnaire.
2. **Answer library > Import**: `formflow/02_answer-library.csv` (Question, Answer, Notes). Four answers match.
3. **Home > paste or upload** `formflow/01_buyer-questionnaire.txt`: 14 questions, filled from your profile and library.
   **Create submission**.
4. **Documents > Upload**: drop `03_certificate-of-insurance.pdf` and `04_w9-sample.pdf` together.
Each one opens in turn, the type is detected, and the COI expiry (2026-12-31) is suggested. The submission's documents go from 0/6 to 2/6.

## Chasely (client document chasing)
1. **Clients > Import CSV**: `chasely/01_client-import.csv` (company, contact, email, frequency, period, documents separated by ;).
Document names: Bank statement, Sales invoices, Purchase receipts, Payroll report, VAT records, Credit card statement,
   Expense report, Supplier invoices, Other.
2. **Request** next to a client: the email is pre-filled. **Save request**, and it appears on Home.
3. Example client documents are in the app folder: `demos/chasely/*-demo.pdf`.
Chasely clients persist in this browser. Download a client backup; billing uses a separate backup. Keep original uploaded files separately.
